Business and Support Assistant
Grade: Grade 5 Points 12 - 17
Responsible to: School Business Manager and SENDCo

Working Hours: 35 hours per week (Term Time Only: 38 weeks + 2 weeks additional)
Salary: Salary Range 5 - Points 12-17
Minimum £20,315
Maximum £22,263
Purpose of the Role
To work as part of the administrative and pastoral team in supporting the school in attaining its aims and objectives. Assisting the Principal, School Business Manager in financial, IT and property/site maintenance matters ensuring the school is compliant in all health and safety areas.
To be a point of contact for parents to support attendance and to ensure smooth running of school meals.

Specific Responsibilities
Property/Health & Safety Duties
● Assist the SBM by liaising with contractors in ensuring statutory testing is undertaken and the school is compliant with current legislation.
● To be fully conversant with health and safety regulations and ensure they are complied with.
● Ensure that the health and safety policy is followed and work with the Trust’s central team to ensure that any statutory changes are implemented as required.
● Ensure systems are in place to enable the identification of hazards and produce risk assessments when necessary.
● Ensure systems are in place for effective monitoring, measuring and reporting of health and safety issues to the SBM and or Principal.
● Assist and support the SBM with property management and ensure the school is effectively maintained.
IT
● Assist the SBM in the development and maintenance of computer/IT systems.
● Assist staff with IT issues and liaise with the external ICT support provider as and when necessary.
● To liaise with external partners in the smooth running of all IT systems.
Financial Duties
● Processing of orders in accordance with school financial regulation, using the schools finance systems to generate these orders.
● Supporting SBM in ensuring that there is ‘best value’ from services and suppliers used by the school to ensure that they are most cost effective.
● Maintain both the electronic and paper filing systems in respect of filing of orders, invoices, etc.
● Produce reports and spreadsheets as required.
● To liaise with contractors and external service providers to ensure regular payments are made in a timely fashion.
General Admin Duties:
● Reception duties include checking in and out of visitors and general enquiries.
● Answer telephone and deal with callers’ enquiries.
● Administer medicines in line with policy.
● Contacting parents in the event of accidents or unwell pupils.
● Co–ordinating appointments for parents with staff.
● Update school app, school calendar and school website.
● Provide administrative support for the Principal, when required.
● Any other duties relevant to the post.
Parental Support
● Welcoming new families to the school, offering advice and support on the admissions process.
● Provide a point of contact for school meals, including liaising with external providers and ensuring parents have access to systems needed.
● To maintain oversight on school meal ordering.
School Admissions
● Provide a point of contact for the Local Authority for any new school places offered.
● Support parents with secondary school transfer applications.
Attendance
● Check registers, text absent children and call parents if no response is received.
● Conduct a welfare check if concerned.
● Record all absence details on schools Management Information System.
● Record medical details for children.
● Respond to all requests for leave of absence, including holidays.
● Issue letters for absence requests advising of penalties – upload these on Scholarpack.
● Apply to the Local Authority for penalty notices.
● Discuss any worries re: absences with SENDCo and carry out welfare checks when needed.

● Maintain an absence spreadsheet, regularly sending letters for attendance patterns that cause concern.
● Arrange meetings for children with attendance below 94% and set targets.
Training
● To undertake all relevant and statutory training associated with the role and also working in a school environment, including safeguarding, health and safety and financial training as appropriate.
