Job Title: Personal Assistant to Chief Brand Officer and Chief Equity Diversity & Inclusion Officer
Location: 100VE (Blackfriars, London) / Kingston upon Thames
JOB PURPOSE
An opportunity has arisen for a Personal Assistant role to support our Chief Brand Officer and Chief Equity Diversity & Inclusion Officer at Unilever.
This role is a unique chance to work with a business leader who is not only responsible for our internal Global Marketing Centres of Excellence and Capability teams but also for driving change internally and externally for Equity, Diversity, and Inclusion.
The leader sits on external non-executive board roles and works with organisations such as IKEA, the V&A Museum, and the Unstereotype Alliance with UN Women.
This is a highly regarded role and is pivotal to the success of the leader and to their leadership teams.
RESPONSIBILITIES
Complex and changing diary management, with ability to reprioritise.
Arranging internal and external meetings. Understanding technical requirements (MS Teams) for virtual meetings.
Supporting with building team meeting agendas. Taking notes and key actions for leadership team meetings to increase team productivity.
Screening, redirecting, and replying to e-mails as appropriate. This may include typing general email correspondence and reports.
Organisation of international and local travel, including preparations of itineraries, visa applications, jointly with the management of out-of-office requirements
Planning local and international meetings on-site/offsite, including coordination of country visits and LT meetings. This may include visitor management, catering, etc.
Global team event co-ordination and supporting with conferences when required.
Preparation of PowerPoint presentations, Excel spreadsheets, reports, and materials for meetings.
Liaison with internal customers and external contacts – developing knowledge of key individuals and collaborating with the PA Network.
Building trusted relationship with the Leadership Team to support team effectiveness.
Proactively tackling issues related to administrative processes to ensure speed and efficiency.
Processing expenses and invoices using relevant systems.
Replying to queries and requests for information from Unilever Execs, Business Partners and stakeholders on an ad hoc basis based on priorities set jointly with the manager.
Confident with systems and technology (e.g. MS Teams, internal expense systems)
ALL ABOUT YOU
An experienced Personal Assistant preferably experience working in a global organisation and with exposure to C-suite.
Calm under pressure. Accountable, with a positive attitude and a strong bias for action.
Highly organised and able to prioritise complex tasks and manage senior stakeholders’ expectations. Ability to flex as needed to changing demands.
Self-starter with experience navigating large organisations to unlock solutions and build connections.
Proven ability to build trusted relationships across a wide network including internal stakeholders and external organisations. Strong influencing skills.
Highly competent in Microsoft suite with experience working with Outlook, Teams, Word, Excel, PowerPoint, SharePoint/One Drive. Confident learning new systems.
Excellent professional written and oral communication skills with attention to detail and setting high standards for their quality of work.
Experience working in a virtual environment and collaboration with people from different cultures around the world.
Ability to proactively work with the management team to advise on improvements to ways of working with the leader to enable higher productivity for the team.
Comfortable working with numbers, budgets, meetings agendas and minutes
Importantly, trustworthy, and sensitive when exposed to confidential information.

Location
In September 2020, Unilever announced the intention to build a new sustainable campus site in Kingston, London to house the employees who currently work in 100 Victoria Embankment in Blackfriars, Lever House in Kingston and Graze in Richmond. We are creating our own Unilever sustainable, agile work environment, purposefully bringing us together in our own Unilever ecosystem. The campus is due to be completed in early 2025 and will consist of two interconnected buildings, as well as landscaped surrounding areas.

Recruitment Fraud
Cyber criminals advertise fake job adverts with prestigious employers as a way of stealing information or even defrauding individuals out of money. In the most sophisticated cases, they will set up fake websites, which have a similar address to companies like Unilever. They even conduct fake telephone interviews and then offer candidates a role with the proviso they pay a fee for background checks or to cover work visa costs. These types of attacks are becoming more common as more people are looking for employment in the economic climate.
How is Unilever tackling this?
Many of Unilever’s recruitment sites publish a warning to candidates about recruitment fraud. The Cyber Security team also proactively scan for signs of people setting up fake Unilever sites and act to close them down.
