An exciting opportunity has arisen in the Provost’s Office for an Executive Assistant to primarily support the work of the Provost, and also assist the Chief Operating Officer (COO), both of whom are members of the Vice Chancellor’s Executive Board.
We are searching for an experienced, resourceful, and self-motivated Executive Assistant to join our small team to provide high quality, comprehensive executive level support to the Provost, while providing diary and admin support to the COO.
This is a wide-ranging role and you will be responsible for a varied range of tasks relating to leadership activities of the Provost/COO including diary management, task management, meeting co-ordination, servicing committees/working groups, project work, organising invitations to external visitors, and booking travel. To undertake these duties, you will need to engage with a wide range of people and roles at Surrey and likewise externally; this places an importance on representing the interests of the portfolios and the values of the institution more broadly.
Through the varied work undertaken, it is expected that you will be supported to acquire new skills and develop existing ones. Experience of providing an effective and comprehensive administrative service at a senior level is essential, as well as possessing excellent communication/interpersonal and organisational skills. The successful candidate will have the ability to work effectively under pressure while managing confidential and sensitive issues with tact and diplomacy. The successful candidate must also have the ability to work under their own initiative with minimum supervision and be able to prioritise their own workload in a complex environment, sometimes within tight timescales. Knowledge and experience of the use of MS Office tools and Outlook email systems is also essential.
