An exciting part-time opportunity has arisen for an HR Administrative Assistant to join the Library. Reporting to the HR Business Partner, the HR Administrative Assistant will be responsible for providing a comprehensive day to day administrative and clerical support for HR issues, supporting the Departmental Administrator / PA to Librarian to facilitate an effective HR service to members of staff within the HR and Library Department.

The successful post holder is ideally required to work Monday-to Friday (in total 18.25 hours per week) but this can be discussed in the interview.

The role requires the post holder to also be closely involved with other HR processes and projects such as staff surveys, Payroll related tasks and activities, as well as undertaking a basic HR advisory role around procedures and processes.

To be considered for this position, candidates must demonstrate previous experience of working within an office/administrative role, preferably in HR, and be a confident communicator and team player.

Job Description

JOB PURPOSE

To support the Library by providing effective and efficient clerical assistance in the administration of its HR operations.


DUTIES & RESPONSIBILITIES

1) Provide efficient and effective clerical support to the HRBP and Departmental Administrator / PA to Librarian. Including but not exclusive

o Completing a variety of HR and Payroll-related workflow in line with University procedures, including data-entry and submission of additional hours to payroll, leavers' forms, etc.
o Taking minutes of meetings
o Monitoring probation reviews and fixed-term contracts. Ensuring the necessary end of fixed term contract consultation meetings take place and that the appropriate paperwork is completed.
o Providing clerical support to the Departmental Administrator / PA to Librarian
o Reviewing annual leave and providing feedback accordingly.

2) Recruitment & onboarding:

o Liaising with HR Administration on all recruitment issues, including obtaining post numbers, placing of advertisements, raising purchase orders as required, and ensuring advert are accurate prior to placement.
o Provide support and coordination with regards to short-listing responses, interview invites, reference requests and outcome letters.
o Preparation and support of induction and any training materials required.
o Assisting with departmental induction programmes for new staff, acting as a point of contact to offer help and support to new staff as necessary.
o Ensuring that details of new appointments are communicated to the relevant people in the department, e.g. for inclusion in departmental distribution lists, for staff cards etc.
o Overseeing recruitment and employment processes in the absence of Departmental Administrator / PA to Librarian.

3) Other:

o Supporting other HR processes and projects, as required, such as staff engagement surveys, PDRs etc.
o A point of contact for general advice and support.
o Provide general administrative support to other Library operations as required.
