Available Job Today Personal Assistant to Director

Up to £30,000 + benefits

Up to 12 months fixed term contract (mat cover)

35 hours per week (happy to talk flexible working)

The Role

As a PA, you will provide diary management and administrative support to the Director of our Membership department. This also includes project and broader support for the directorate as required. This is an important front-line support role and therefore you will need to be able to communicate effectively with many senior internal and external stakeholders and demonstrate a professional and collaborative manner.

This role requires an ability to work on your own initiative, operate proactively and to have the ability to take autonomous decisions. You will need to work to tight deadlines when needed and be able to say organised under pressure. A high degree of integrity is required as much of the work is confidential.

What You’ll Be Doing

  • Providing a full secretarial and administrative service to the Membership Director.
  • Planning and arranging a busy schedule of internal and external meetings and events to agreed timescales.
  • Prior to the meetings, preparing and distributing agendas and supporting documentation, book venues, set up conference calls and dial-in arrangements, arranging refreshments and providing additional administrative support as required.
  • Arranging and coordinating regular UK and international travel and accommodation.
  • Processing invoices, ensuring accurate coding and authorisations.
  • Provide cover PA support for other Directors as needed (e.g. sickness or holidays).
  • Supporting the teams in the coordination and distribution of appropriate meeting papers and actions (i.e. quarterly CIPD Board and Audit Committee).

What You’ll Need To Be Successful

  • Previous PA and administrative experience including diary/calendar management.
  • Experience planning, coordinating and booking domestic and international travel.
  • Strong organisational skills and ability to plan effectively.
  • Professional and polite telephone manner.
  • Knowledge and experience of the full MS Office suite including how to prepare PowerPoint presentations and excel spreadsheets.
  • Good business awareness is required to understand the context of meetings, actions, minutes and reports.
  • Ability to work in a deadline driven environment.
