Job Description
We are seeking to appoint an enthusiastic and dynamic candidate to the role of Apprentice Human Resources Receptionist for an apprenticeship programme for a period of 19 months. Upon successful passing of the apprenticeship course, the postholder would be made permanent at Band 3 in the role.
The role of an Apprentice:
To undertake a 19-month development programme in Business Administration – Human Resources department, through work based learning and by attending regular training sessions.
Supervision and support will be provided during all tasks, enabling the apprentice to work
within the organization to gain experience, confidence and to deliver effective and safe patient focused support, to the designated team. Successfully completing the training programme will lead to an Intermediate Apprenticeship Level 2 qualification.
The role of an Apprentice Recruitment Assistant is to provide a comprehensive and effective administrative service to support the smooth and efficient running of the Recruitment Service. This will include managing the Resourcing team inbox and supporting the Recruitment team in a full range of admin duties, dealing with telephone and face to face queries in a professional and courteous manner.
Resourcing Team
The Resourcing team at North Middlesex University Hospital NHS Trust has been through a significant period of change in the past 12 months, with the implementation of all transactional recruitment services moving across to a new centralised service consisting of the following Trusts with effect from 1st December 2021;
- North Middlesex University Hospital NHS Trust
- Royal Free Hospital Foundation NHS Trust
- University College London Hospitals NHS Foundation Trust
- Whittington Health NHS Trust
- Camden & Islington NHS Foundation Trust
- Barnet, Enfield, & Haringey Mental Health NHS Trust
- Tavistock & Portman NHS Foundation Trust
- Royal National Orthopaedic Hospital NHS Trust
However, all other recruitment services inclusive of bank staffing, bulk recruitment, honorary contracts, overseas recruitment, and HEE medical rotation services including relocation expenses and exception reporting will remain in the service. The service will also manage and undertake the calendar of recruitment events including the attendance of job fairs, and hosting Trust recruitment open days and events. This would be an ideal role for someone with recruitment experience looking to expand their knowledge and develop into a more senior role.
Roles and responsibilities within this role will include, but not be limited to:
- To work as part of a team alongside other clerical staff within the department and to be part of a wider multidisciplinary team delivering a high-quality service to other staff and patients.
- To provide a high-quality reception and administrative service for the Human Resources department and to ensure appointments are made in line with Trust policies, guidelines, and departmental protocols.
- To manage the Resourcing inbox, distributing e-mails to the relevant team/department and dealing with all incoming queries as first point of contact.
- Assisting in the planning, preparation and execution of all internal HR/OD events including but not limited to Recruitment Fairs, Internal Open Days, Staff Awards and other on-going events within the Human Resources and Organisational Development umbrella.
- Retrieve and process mail, incoming and outgoing telephone calls in accordance with Trust Policies.
- Undertake office management duties such as maintaining stock levels of required consumables and raising orders to managers as required.
- Gain the knowledge in the event of the hospital system failure the relevant disaster recovery procedure is followed.
- Accurately input, retrieve and collate information using departmental and Trust computer systems in a timely way being mindful of data protection at all times.
- Respond promptly and efficiently to routine queries referring queries on to other personnel as appropriate.
- To undertake clerical support i.e., filing, photocopying, typing and retrieval of documentation in line with Trust and departmental procedures.
- To ensure all Health & Safety guidelines are followed and equipment is used according to instruction. Any potential hazards and accidents to be reported and recorded promptly in line with Trust policies and procedures.
- To ensure that confidentiality is strictly adhered to in line with legislation and Trust policies and procedures.
- To report any service or performance shortfalls to the Management team and work as part of the team in order to address and resolve any issues.
