GROUPS RESERVATIONS EXECUTIVE
THE ROLE:
We are currently looking for an experienced bilingual candidate specialising in Group Reservations in UK Inbound Tourism to join our Team. It is preferable that you have at least 2 years’ experience in a similar role with a UK Inbound Tour operator or Travel agency. Candidates must be able to display commercial awareness of the UK and Ireland Inbound tourism specifically major cities and regions and main attractions. You will handle all aspects of the group tour - from the initial graphic proposal and costing, to the day-to-day operations of the group confirmed. You must be extremely motivated and a pro-active approach to your work is a must with the ability to anticipate issues and be able to resolve them.
Candidate's Profile:
- Experience in a previous Inbound role making group reservations (either for a UK Inbound TA or TO only)
- A good knowledge of the UK and its major cities is important.
- Must be fluent in English and Italian or Spanish both written and spoken (other languages will be considered).
- Good knowledge of booking coaches and restaurants.
- Candidates must be Computer literate; Office, Word, Excel, PowerPoint, Tourplan, Trip Creator, Canva, Mailchimp a plus.
- Self-motivated, dedicated & effective cross departmental communicator in order to satisfy client & company’s needs.
- Good knowledge of venues, sightseeing attractions & the UK Inbound TO concept is important.
- Extremely organised/ Excellent negotiator/Able to work under pressure/Good telephone manner / Customer liaison skills/Attention to details/ Communication skills.
Main duties include:
- Determining clients' requirements for group travel, accommodation and special interests by preparing tailor made quotations within company guidelines /sales initiatives & implement routine follow up.
- Suggesting itineraries based on available travel routes and cost, availability and convenience of transport
- Making and confirming travel and accommodation reservations and informing clients of bus, plane, ship and train connections
- Notifying clients of travel dates, and visa requirements.
- Providing information on tourist attractions and tour availability.
- Collecting payments and issuing clients' itineraries, relevant documentation, tickets for travel and vouchers for accommodation.
- Answering inquiries and offering suggestions about tours, travel routes and accommodation
- Providing literature and information on local tours and places of interest.
- Provide day to day point of contact for our clients for both hotel and service reservations.
- Negotiating our special contract rates/allocation & dealing with any cancellations and amendments.
- Ensuring timely answers to client queries / enquiries / complaints to ensure company procedures are followed.
- Manage & maintain information accurately within client data files.
- Price queries and assisting accounts department in pursuit of late payments.
- Demonstrate flexibility & undertake reasonable tasks requested by the company.
- Work with internal staff to help develop business.
- Ensure maximum revenue opportunities are achieved through execution and maintenance of all sales strategies.
Hours:
· Office hours: Monday- Friday 09.30 to 18.00
· Travel abroad to trade fairs once or twice a year may be necessary. All expenses paid.
· Out of hours/ weekends; Ad hoc the candidate must understand that from time to time they may have to carry out operational duties out of hours or on weekends depending on the necessity of the client. All time reimbursed in lieu.
· Emergency phone; ad hoc depending on requirements of the groups in house. We expect that the candidate appreciates that having certain groups in house will require them to be contactable outside hours in the event the client requires assistance.

Salary: £25,000.00-£35,000.00 per year
