Working at our client office within an Integrated Services Contract, this role shall report directly to our FM Team Lead on all matters relating to the administration and coordination of the contract. You will be required to support other work streams as well where required, and have continual dialogue with our support departments.
MAIN RESPONSIBILITIES
Maintain Live Training matrix for all regular personnel and arrange necessary training where gaps are
Ensure all personnel to mobilise have completed relevant pre-mob training
Ensure correct job numbers and allowances are used via the Mpower time writing system to enable accurate payroll and commercial invoicing
Collate weekly summaries and cross check against daily MPower timesheets to ensure accuracy
Ensure client required documentation is submitted in a timely fashion
Input holiday requests into holiday tracker and sign off for payment
Raise requisitions for recruitment up manning and holiday cover, working closely with Onshore Focal Points
Responsible for recording appraisal progress as per annual appraisal plan
Process consumable and equipment requests in SAP
Ensure client required documentation is submitted in a timely fashion
Support in the management of plant and equipment – Maximo PRs
Ensure weekly deliverables are sent in from offshore and logged/saved
Attend weekly calls to support with man power requests and updates
Contribute to offshore personnel competencies and assist with portfolio questions and queries
In addition to the duties and responsibilities listed, the position holder is required to perform other duties assigned by the Contract Management from time to time

QUALIFICATIONS AND EXPERIENCE

Previous experience in a coordinatior or training related role.

Confident communicator, team player and can work on own initiative

Previous experience of training and competence upkeep (desirable)
- Previous experience of working with time writing and related processing (desirable)
- Experience in using SAP and MPower (desirable)
