Job Description
To provide comprehensive administrative and secretarial support to the Emergency Department and all of the Department's Clinical Leads. Working alongside the Emergency Department’s Secretaries, the post holder will provide an administrative support service to the Urgent Care Lead Nurse & all Clinical Leads, as well as other health care professionals within the Emergency Department to ensure service objectives are achieved efficiently and effectively.
The post holder works with the Admin Team and must show high standards of professionalism. The post holder also acts as Ambassador for the department and works closely with external organist ions and other Health Care Providers.
- Assist the Urgent Care Lead Nurse & all Clinical Leads in all matters arising in the Emergency Department & Urgent Treatment Centre.
- Act as the first point of contact for any Admin queries for the Department, demonstrating problem solving skills, common sense, good communication skills and empathy. To work under pressure and with varying workload.
- To provide administrative support to the Departments; Matron, Consultants, Doctors, Managers and Nurses. Support including preparing responses and typing on behalf of the Management team. Also secretarial and administrative support including preparing responses and typing of general letters, X-ray letters,
communication briefings, presentations, news bulletins, spreadsheets, flowcharts, file notes and any other documents required at short notice.
- To assist the Rota Coordinator with the organisation of placements of medical students in the Emergency Department. Preparation of information packs including handbooks for all doctors commencing employment within the Emergency Department. Record the clinical library.
- Responsible for the administration backup to the Admin Manager, Secretaries, and Reception Team Leader.
- To be fully conversant with the Millennium (FirstNet) computer system with the ability to view all patients' records electronically.
- To undertake any study days that may be required by the Trust.
- To support the Urgent Care lead with Rota queries and the associated systems (e.g. HealthRoster, HealthRota and Locum’s Nest)
