Executive PA the role ...........
As a highly organised and experienced Executive PA you will support our Managing Director and our group directors. Reporting to the Head of HR and working from our Head Office in Newbridge, Edinburgh, you will provide comprehensive administration support, manage competing priorities, work independently and continuously building and maintaining relationships with both internal and external key stakeholders.
Key responsibilities of this role include (but are not limited to):
- Managing schedules and appointments for the Managing director, resolving scheduling conflicts as necessary.
- The efficient composition and typing of documents and letters, including pulling together information from different sources, involving the use of initiative and resource as may be required.
- Receiving and screening all internal and external correspondence, emails and telephone calls, for the MD, ensuring that necessary and timely action is taken as required and confidentiality maintained at all times.
- Managing and planning the Directors’ diaries efficiently, on a daily basis, to ensure the best use of the board of directors’ time
- Arrange meetings for MD and other directors, when required, ensuring that venues for meetings and other events are booked, appropriate facilities, travel and hospitality are provided
- Coordinate monthly board meetings and ensuring concise and accurate minutes/actions , circulated promptly.
- Ensure expenses for the MD are collated, checked and passed to Finance for processing
- Manage and maintain of an effective filing system, manual and computerised, to ensure that information is easily obtained and stored in line with GDPR
- Conduct all administrative and clerical work, including photocopying, collation of papers, as may be necessary.
- Process evaluation feedback from senior officers’ programmes of work as appropriate.
- Assisting the MD in the prioritisation of daily tasks
- Event preparation, invitation and coordination for customers and internal hosts.
Am I the right person for this role?
The successful candidate must have the following skills and experience:
- Strong organisational skills, with attention to the small details
- Ability to handle multiple tasks simultaneously while maintaining a high level of accuracy
- Be an effective communicator, both verbal and written
- Have a high level of Proficient IT Knowledge with specific experience in the use Microsoft Teams, word, PowerPoint, excel software packages and accurate keyboard expertise
- Previous experience in a similar role, with familiarity with business etiquette and protocols.
