Working arrangements: Standard working hours between 9am – 5pm, Monday to Friday. Hybrid working, with a minimum of 6 days per month in the office. Due to the nature of events, flexibility to travel and work outside core hours may be needed during busy periods.
The Royal College of Physicians is recruiting an Events and Marketing Assistant.
Under the supervision of the Events and marketing manager and in collaboration with the RCP Communication, Policy and Research directorate, you will provide events and marketing support for the RCP’s event programme. The annual programme consists of webinars, conferences, lectures, ceremonies and other ad hoc events. You will support the delivery of these events both online via our streaming platform (RCP Player) and in person at the venues. The role is fast-paced and you will be working on multiple projects at one time.

Key responsibilities
Events
- Supporting with event preparation in the run-up to events including but not limited to event set up on CRM and digital CMS, inviting speakers and following up where required, supporting abstract management, delegate queries, event material preparation, logistics emails and other ad hoc duties as required.
- Administrating post-event follow-ups including but not limited to attendee feedback surveys, thank you emails to staff, speakers, sponsors and suppliers.
- Working with the other team members to answer all enquires relating to RCP Player, webinars, hybrid and in-person events – by email, on the phone and in person.
- Managing the CRM and digital CMS to ensure data records are accurate and up to date.
- Assisting with on-site management of events - including greeting and registering delegates, dealing with queries, greeting, and assisting speakers and sponsors, liaising with venue and AV staff, and break-down of event.
- Maintain events logistics calendar to share with key teams.
Marketing
- Assist in writing and proofreading copy for both online and offline marketing channels.
- Support coordinators with email marketing campaigns.
- Upload and schedule content to the website(s), social media pages, online libraries, and marketing department databases.
- Write briefs and work with the coordinators and design team to create assets.
- Assist with the production of marketing materials and literature, such as web content, brochures, and social media.
- Source information for marketing purposes including job titles, speaker images and biographies.
- Track engagement of marketing activity and use statistics to evaluate marketing campaigns.
- Update the department’s internet and intranet web- pages and to work with the web team to create an effective web-presence for RCP events and RCP Player.
- Any other duties as may be reasonably expected and which are commensurate with the level of the post, adhere and comply with the provisions of the RCP’s health and safety policy, undertake all duties and responsibilities in compliance with the rules and regulations encompassing equal opportunities.
About you
- Demonstrable experience in a events or marketing role in a similar organisation or a placement as part of degree.
- Demonstrable record of digital event marketing.
- Able to tackle challenges constructively and finding creative ways to solve problems.
- Excellent interpersonal communications skills, including tact and assertiveness, and the ability to communicate at all levels in a complex environment.
- Excellent copywriting skills with the ability to adapt tone of voice and writing style.
- Good knowledge of different marketing avenues and how they can be implemented.
- Experience using an email marketing platform, preferably Dot Digital.
- Experience using social media platforms such as Facebook, Twitter, LinkedIn and Instagram for business purposes.
- Good knowledge of digital and direct marketing.
- A flexible approach and a positive, can-do attitude.
- Ability to work with senior contacts and co-ordinate the activities of staff and contributors at all levels both internally and externally.
