Job Title: Centre Co-ordinator 6-8hrs weekly with a hope to expand.

Proposed Grade £15 per hour

Responsible to: Malpas Young Persons Project Management Committee

Job Description - Overall Objectives

1. To be an ambassador for the centre by providing a friendly and professional enquiry and bookings

service to potential and existing hirers and the wider local community.

2. To manage and maintain Malpas Youth Centre ensuring it is kept safe, secure, clean and

adequately equipped for each letting.

3. To liaise with MYPP Management Committee to ensure the smooth running of the hall in line with

their priorities.

1. Community liaison and centre bookings:

Currently some of these duties are partially covered by trustees with an aim to integrate fully or

partially over time tasks into the Centre Co-ordinator role.

● Managing an efficient but personable centre bookings process from initial enquiry and

booking/risk assessment paperwork and gathering feedback.

● To use local knowledge to encourage new rentals within the centre.

● Ensuring that all necessary documentation is filed and kept confidentially.

● Supporting administration of the centre website, ensuring all information is kept accurate

and current.

● Promoting the centre and its updated calendar of activities through regular social media

posts and other advertising media.

● Following local social media to look for opportunities for the centre and also posts by the

public in need of responses.

● Continuously improve our impact and engagement with young people and the local

community, identifying opportunities to share learning and good practice.

● Work with colleagues to grow and enhance our engagement with young people, creating

opportunities for long term relationships and involvement of young people in the wider work

of the charity.

2. Centre Management:

● Carrying out or organising repairs to fixtures and fittings in cases of wear and tear or

accidental damage, seeking quotations and liaising with outside contractors as required.

● Ensuring the facilities are serviced in line with maintenance schedules.

● Liaising with cleaning staff, users and other volunteers to ensure that the centre is unlocked

in time for lettings and is locked and secure with the alarm set at the end of the day.

● Purchasing consumables and cleaning/maintenance materials up to the spending limits set

by MYPP Management Committee.

● Complying with all requirements relating to Health and Safety and ensuring any incidents or

accidents are reported and logged in the accident book.

● Looking for ways of improving the environmental impact/sustainability of the centre whilst

ensuring it is kept warm and comfortable for users.

3. MYPP Management Committee Liaison:

● Maintaining a calendar of relevant documents and schedules and notifying MYPP

Management Committee when updates are due and/or decisions are required. This would

include insurance, utilities, maintenance/inspection contracts, license renewals, centre policy

reviews etc.

● Reporting any concerns regarding the running of the centre to MYPP Management

Committee. This includes liaising over annual leave/sickness so that cover can be put in

place.

● Sending a monthly email report to MYPP Management Committee of headlines of bookings,

income, expenditure, maintenance etc.

● To support with operations and maintenance management including being on site whilst

work is happening and obtaining quotes from external contractors.

● Carrying out any other reasonable duties as requested by MYPP Management Committee.

The Post Holder will:

● Be based at Malpas Young Persons Centre or home and be willing to travel to the centre daily if

needed.

Safeguarding statement

This post is with an organisation providing services to children and employing regulated

positions, exempt under category two from the Rehabilitation of Offenders Act (1974).

As such, an enhanced disclosure will be sought for this post and any previous convictions

regarded as unspent for the purposes of completion of this disclosure.

and their parents. It is therefore expected as part of their job that all staff will adhere to

relevant legislation to ensure that this information is kept confidential. This includes

commencement of employment.
