Role purpose:

To support Aria Care with all onboarding requirements and provide a comprehensive and professional recruitment service to the business.

Key accountabilities:

  • Ensuring correct processes and procedures are followed within onboarding in Harbour within the agreed SLA timeframes
  • Ensure there is a clear understanding of the reference, right to work and DBS policy and that they are always adhered to
  • Complying with all relevant GDPR regulations
  • Ensure thorough checks are carried out on right to work documentation in line with the right to work policy
  • Ensure thorough checks are carried out on DBS documentation in line with the DBS policy
  • Keep up to date with changes to legislation within compliance
  • Ensure all candidates receive a smooth onboarding / compliance experience
  • Generate offer letters and contracts for candidates ensuring attention to detail is always applied
  • Request DBS checks for all candidates, ISA checks where approval is given and ensure PVG checks are gained from Scottish homes to add to the candidates record
  • Pay attention to any positive disclosure outcomes and raise with Hiring Manager and Regional Manager for a risk assessment to be carried out
  • Obtain any DBS / PVG risk assessments carried out with a decision to proceed to add to the candidates record
  • Verify referee contacts provided by the candidates and request references for all candidates
  • Pay attention to any unsatisfactory references received to Hiring Manager, Regional Manager and HR for review against the referencing policy
  • Gain approval from Hiring Manager for all references received
  • Review all onboarding forms completed by the candidate and ensure information has been entered correctly and contact the candidate where necessary to amend
  • Review responses on the medical assessment form and raise any points for managers to note before the candidate starts
  • Liaising with agencies and chasing for missing documentation
  • Final sign off on compliance for all candidates
  • Arrange start dates with candidates and home managers once candidates are compliant
  • Check the candidate has started on day one
  • Transfer the candidate from Harbour to Fourth on day one
  • Download the personnel pack from Harbour and save the PDF pack on the hub under the relevant home
  • Handle any general compliance queries from recruitment or onboarding team

Skills, Knowledge, Experience and Expertise:

  • Knowledge and experience using Microsoft Word, Excel, Access and Outlook.
  • Strong attention to detail and excellent communication skills both verbal and written
  • Excellent organisation skills with the ability to plan and prioritise workload to meet deadlines
  • Flexible, adaptable and able to multi-task in a fast-paced environment.
  • It is preferable that candidates have experience of working within a team where a high level of confidentiality is essential
