Job Summary:
We are seeking a highly experienced and professional Executive Personal Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be a proactive problem solver with excellent communication skills and the ability to multitask in a fast-paced environment. The Executive Personal Assistant will be responsible for managing calendars, scheduling meetings, and handling confidential information with discretion. Additionally, the Executive Personal Assistant will be responsible for managing the day-to-day operations of the executive office and providing support to other members of the team as needed.
Key Responsibilities:
- Manage calendars and schedule appointments for executives
- Prepare and distribute meeting agendas, materials, and board packs
- Attend meetings and take detailed notes to be filed and distributed as required
- Conduct research and prepare reports as needed
- Handle confidential information with discretion
- Manage email and phone correspondence
- Assist with special projects as assigned
- Provide general administrative support as needed
- Manage the day-to-day operations of the executive office and understand the priories and requirements of the executive team
- Supervise and train other administrative staff as needed
- Develop and maintain filing and organisational systems
- Act as a liaison between the executive team and other departments
Requirements:
- 2+ years of experience as an executive assistant or similar role
- Excellent organisational and time management skills
- Strong communication skills, both written and verbal
- Ability to multitask and prioritise tasks effectively
- Proficient in Microsoft Office and Google Suite
- Ability to maintain confidentiality and handle sensitive information with discretion
- Ability to work independently and as part of a team
- Strong problem-solving skills and attention to detail
