Unlocking Language is a fast-growing, dynamic and award winning provider of speech and language therapy to children and adults across London, Essex and Kent. We are currently seeking a Remote Virtual Assistant & Medical Secretary to work alongside our female founder & CEO. As a key member of our team, you will promote our company ethos of delivering excellent client care while collaborating with therapists to achieve organizational goals and continually improve the client experience.
This is a fully remote dual role and you will be responsible for assisting the CEO with professional and personal tasks in addition to client bookings and support. The CEO has a busy schedule so you will be someone who can work in a dynamic and fast paced environment.
Virtual Assistant Duties:
a. Diary Management
b. Inbox Management
c. Travel & logistics Management
d. Expenses
e. Email Management
f. Liaison with employees, clients and key stake holders
g. Appointment Setter.
h. Over see therapist schedules
i. Provide first-line support and assistance
j. Provide administrative support
k. Manage personal and family administration, calendars and tasks
Medical Secretary:
a. Facilitate the onboarding and training process for new team members
b. Over see therapist schedules
c. Administrative support with student placements
d. Administrative support to specific clinical services
e. Client on-boarding
f. Booking in clients - email and phone
g. Dealing with Queries
h. Liaison and collaborative working with the finance and HR teams
Essential Criteria:
- At least 3 years experience in this field
- Strong verbal and written English communication skills with a high level of tact, courtesy, and diplomacy.
- Ability to multi-task, prioritise, and manage time effectively.
- Work in a fast paced culture and meet short deadlines
- Strong computer skills including proficiency in Microsoft Office (Word & Excel), Outlook, Teams, etc.
- Excellent attention to detail and accuracy in completing tasks.
- Ability to work independently with minimal supervision.
- Excellent organisational skills with the ability to prioritise tasks based on importance.
- Ability to exercise sound judgement when making decisions
- Customer service orientation and experience liaising with clients, their families, and other care providers
- Flexibility and adaptability to change

The role is 35 hours per week, 7 hours per day.
It can be taken on as a contractual or permanent position.
