The Business School is seeking an Executive Assistant to provide a professional, efficient, and effective service to members of the school. You will work as part of the Dean’s Office Executive Support Team to provide high-level, pro-active and professional administrative and secretarial support to members of the Senior Management Team (for example, Director of Education, Deputy School Manager).
The Executive Assistant supports senior members of the school, school activities and events and will need to exhibit tact, discretion and maintain a high level of confidentiality. Independence and initiative will be required to react to changing priorities and work circumstances, with scope to make decisions within their own remit. They will need expert knowledge of a range of IT systems, and where possible, university processes to proactively support the school.
The role will be based in Howard House with scope for blended working in line with the schools’ guidance.
The role holder will work closely with the Executive Officer and Senior Executive Assistants as part of a small team of Professional Services staff supporting the senior team.
Key duties include:
- Providing high-level support to the senior leaders in the school.
- Supporting with the organisation of internal and external events both online and in person.
- Proactively seeking to improve school processes and keep resources up to date.
- To receive visitors in an appropriate manner, and appropriately responding to enquiries from internal and external stakeholders, including staff and students.
Support with ad hoc projects to support the transition activities of the Business School.
- You have excellent organisational, customer service, written and verbal communication skills.
- You are flexible and a good team player, as well as being able to work independently and show initiative.
- You can work in a busy environment, both multi-tasking and reacting quickly to changing circumstances, but also be proactive in improving processes and maintaining a high level of accuracy.
- You are an excellent problem solver.
You are experienced in using a range of IT systems and are able to adapt to new systems and processes quickly.
